Introduction
According to NEC:
"Project Orders are a secondary option, which are different to Service Orders as they allow the Client to instruct additional work which has a level of complexity, coordination and risk which requires a programme for its execution and which may include changes or additions to the Scope and the Price List."
We have created a new Project Order Workflow on the NEC4 FMC contract template to cater for the following clauses:
- Clause 19 Service Orders
- Option clause X27 Project Orders
How to Create a Service Manager Instruction to Quote
- In the left-hand navigation panel, select Service Manager Instruction to Quote.
- Select Create New.
- Fill out the Instruction to Quote form by entering the relevant information.
- Select Create Draft.
- The page will refresh and you will be able to see your draft Instruction to Quote. Here, you can make any changes needed, as well as add any relevant attachments.
- Back in the Instruction to Quote Register, you will be able to see in the Status column that the Instruction to Quote is 'Not Communicated'.
- To communicate the Instruction to Quote, select the draft and click the Communicate Instruction to Quote button.
- Back in the Instruction to Quote Register, you will be able to see in the Status column that the Instruction to Quote is 'Awaiting Quote'. This status will remain until the Service Provider has seen and responded to the Instruction with a quote.
How to Respond to Service Manager Instruction to Quote
The below instructions are for Service Providers, responding to Instruction to Quote.
- Within the Instruction to Quote register, you will see that the notice is 'Awaiting Quote' under the status column.
- Within the Instruction to Quote, select the Quotes tab.
- Select Create New.
- Fill out the Quote draft, as applicable.
Note: The Quote will auto-fill with relevant information from the Instruction to Quote notice it is related to.
- Select Create Draft.
- Select Communicate PO-Quote.
- Within the Quote register, the status of the quote will now appear as 'Awaiting Response'.
How to Respond to Service Provider Quote
The below instructions are for Service Managers, responding to Service Provider Quote.
- Within the Quote, select the Reply tab.
- Fill out the Reply draft as applicable - the below options are available for response.
- Select Send PO-Quote Reply.
- Within the Quote register the Quote status will update depending on the response sent.
