Introduction
All workflows on FastDraft send out notices that are either for communication purposes only or require a response. These are known as notifications. Some workflow notifications require certain information adding or relevant attachments and perhaps need sign off from a manager. Users on a contract in FastDraft can be allocated a specific party role and access level.
Draft notifications
To prevent incorrect notifications being sent out, all must initially be saved as a draft. The option is then made available to communicate it to the relevant party. There may be instances where the notification needs to be shown to someone else before communicating.
- You may not have the privileges to communicate a notification. (You will not be able to see the green communicate button).
- The notification requires approval from your manager before it can be communicated.
After creating the draft, click on
The following window will appear
- Save only - the notification is saved again as a draft.
- Save Draft & Notify - The dropdown contains the list of users who have the same party role as yourself - eg Contractor. Choose the relevant user and click on Save Draft & Notify. The notification will be saved and notified to the selected user. If other users in the dropdown need to see the draft you can repeat the process.
Draft Replies
This is similar to saving a draft notification, but it is the draft reply to a notification that can be notified to another user on the contract. If you do not have the privilege to create a reply the functionality will not be available.
After creating the draft, click on
The following window will appear
- Save only - the reply is saved again as a draft.
- Save Reply Draft & Notify - The dropdown list will only contain the users who are the correct party and have communication privileges. The reply notification will be saved and notified to the selected user. If other users in the dropdown need to see the draft you can repeat the process.
The draft notifications are recorded on the RAG panel - shown at the bottom of the list. The content of the notification, however, is only available to view if your party type matches the party type who raised the draft notice or reply. Click here for more information about the RAG panel.
