Multi Tenant Single Sign On Implementation & Setup Process

This article is a guide on the process of setting up Multi Tenant Single Sign On (SSO) on dedicated FastDraft instances.

This guide includes the following:

Consultation with Built Intelligence 

Built Intelligence offers different types of SSO that can be set up on dedicated instances. To read about this, please click here.

First, an initial meeting will be organised to talk through the different options and make sure we implement the type of SSO that is right for your Company, and explain the process and key factors. We will also discuss pricing for implementing this change on your instance.

Confirmation of Implementation date

Following the meeting we will check with the Development Team and our CTO to see, based on your requirements and chosen SSO type, when can this change be implemented on your FastDraft instance. As the SSO deployment requires downtime on your FastDraft, we usually recommend this to be implemented on a weekend, to avoid any potential disruption throughout your work hours. We advise at least a 4-week lead up period for this change as this will give us enough time to provision a testing environment and make sure that everything is in working order before going live.

We will also need to coordinate with your Company's IT Department and you will be asked to provide information for the relevant approved contacts who are authorised to make decisions on the your Company's behalf.

Secret Keys

Once the process is signed off from your side, we will set up the SSO in our test environment and we will require you to send us the Secret Key information. Please click here for the article that explains how the SSO will be setup. 

In a nutshell, the details that you need to provide to Built Intelligence are the following:

  • Tenant Id (available from the overview blade of the new app registration)
  • Client/Application Id (available from the overview blade of the new app registration)
  • Client Secret (available after creating the new secret)

In order to support your instance of FastDraft, Built Intelligence staff will require guest/external accounts within your tenant. To invite external/guest users to your tenant, please read this document.

When the testing is completed, we will ask our Dev Team to send over a couple of potential dates when we could deploy the SSO on your instance.

Communication to Users

As this change will affect all of your FastDraft users, we need to make sure that the information about the change is communicated on time. 

We would recommend an email to go out to all users on your dedicated instance, please find an example below for both internal and external users.

Internal Users

Hi XXXX,
 
Please note: We are changing the way that you log in to FastDraft your Contract Management Platform. 
 
Currently you are logging in with your e-mail address and password.  From XX/XX/XXXX we will be switching to Single Sign-On (SSO) which will simplify access, enhance security, and reduce password-related support issues.
 
When logging into FastDraft you will simply enter your e-mail address this will then direct you to the [Your Company] SSO logon system if you don't already have an active session.
 
If you have any questions or problems please get in touch by emailing XXXXXX[Your support team's email].

External Users

Hi XXXXX,
 
Please note: We are changing the way that you log in to FastDraft your Contract Management Platform from Built Intelligence. 
 
Currently you are logging in with your e-mail address and password, those details will become redundant from XX/XX/XXXX when we will be switching to Single Sign-On (SSO) which will simplify access, enhance security, and reduce password-related support issues.
 
Follow these steps:
When logging into FastDraft you will simply enter your e-mail address this will then direct you to the Built Intelligence SSO log on screen.
 
Enter your email address, a strong password then select 'Sign Up' which will create your Single Sign On (SSO) account.

Account Security:
To keep your account secure you will need to enable Multi-Factor Authentication (MFA).  You can choose to authenticate via SMS text message or by an Authenticator app (which will need to be downloaded ahead of logging in).

New User Setup templates

When adding new users to the platform, based on whether they are internal or external users, you will need to inform them about the new SSO setup and relevant login process. Please find below some examples of the emails that can be customised to send out to new user.

New user setup - Internal users (Company's own SSO)

The first screen you are presented with please enter your e-mail address which will then ask you to login with your [Your Company Name] Single Sign On account.
