This article is a guide to using UnifiedClauses and UnifiedReplyOptions placeholders.
This guide contains the following:
- Introduction
- UnifiedClauses Placeholder
- UnifiedReplyOptions Placeholder
- UnifiedClauses for workflows that don't use Clauses/Types
Introduction
Type/Clause are managed via a number of different placeholders that exist within each workflow group and these placeholders support a variety of different customisations that apply to each clause but currently the customisations available to use vary from workflow to workflow. We have made improvements, so that users with permission to edit a contract/master template will be able to configure which clauses appear on each workflow via a single unified Clause/Type placeholder.
UnifiedClauses Placeholder
The UnifiedClauses Placeholder works in much the same way as the traditional Type/Clauses placeholders, with one main exception.
When adding a new clause, you need to select the relevant workflow where this clause should appear:
When reviewing the existing list of clauses, you can see they are labelled with the workflow ID on which they will appear:
All other clause editing features remain the same.
To add clauses in bulk using the copy/paste feature, add a list of clauses to your spreadsheet, and in a column to the left add the workflow ID they'll be assigned to.
Highlight all text from both columns, copy, and paste into the copy/paste box.
It will identify how many clauses you're adding, and auto-assign them to the specified workflow.
UnifiedReplyOptions Placeholder
The UnifiedReplyOptions Placeholder works in much the same way as the traditional ReplyOptions placeholder, with one main exception.
When adding a new reply option, you need to select the relevant workflow where this option should appear:
When reviewing the existing list of reply options, you can see they are labelled with the workflow ID on which they will appear:
All other reply option editing features remain the same.
To add reply options in bulk using the copy/paste feature, add a list of reply options to your spreadsheet. In column 1, add the workflow ID to which they'll be assigned to, and in column 2 add the value/effect of the reply option.
Highlight all text from all columns, copy, and paste into the copy/paste box.
It will identify how many reply options you're adding, and auto-assign them to the specified workflow.
UnifiedClauses for workflows that don't use Clauses/Types
On every contract, you have the option to create new via clause/type. Any clauses that are configured within the UnifiedClauses placeholder will appear in this dropdown list.
However, not every workflow uses clauses/types, and will therefore not show up, by default, in this list. Examples include Early Warnings, Programmes, Defect Notifications, etc.
If you'd like to amend this so they are included in the dropdown, it is possible to add a UnifiedClauses placeholder to these workflows.
As an example, if you wanted to be able to search for Early Warnings in the create new via clause/type dropdown, you could add UnifiedClauses to the Early Warnings group placeholders list. Doing so will automatically include clause options for each workflow that uses coded text to automatically generate the relevant workflow name.
In the above example, $WF_1_PAGE_TITLE will automatically pull through the workflow name of Project Manager Early Warning (for an NEC4 ECC contract, although the party name may vary depending on contract type).
With the above in place, you can then search for Early Warnings in the create new via clause/type dropdown, and it will appear.
Note: these workflows which do not typically require a type/clause dropdown will not be updated with a dropdown even if the UnifiedClauses placeholder is added. The placeholder is there purely so they are available to search in the create new via clause/type dropdown.
You may like to consider adding UnifiedClauses to the following workflows so they are included in the dropdown:
- Early Warnings
- Compensation Events, for the following specific workflows:
- PM CE Assessments
- PM Extensions
- Supplier Extensions
- Supplier Compensation Events (Short Term)
- Supplier Assumptions
- PM Time Assessments
- Supplier Claims with Notice
- Client Claims with Notice
- Client Compensation Events
- Supplier Proposed Variation
- Variation Order
- Delegated Actions
- Records (Meetings, Site Diary, Weather)
- RFI/TQs
- Task Orders
- Project Orders
