What is a Workflow
A Workflow is a collection of tasks or forms that processes a set of data in a specific sequence and set of rules. Workflows on the platform typically help group together a collection of tasks around processes like risk management, change management or quality management. The Workflows contain forms, views or registers, rules about who can send forms, reply to forms, view them and who is notified by email and also placeholder fields on forms.
Master Workflows are displayed under the Templates tab in the Admin panel and Workflows for Contract Templates are displayed once you click on either a contract template or a Master Contract Template. Each Master Workflows contains:-
- Workflows Group. These groups are used to structure workflows in the user interface, so that all the change management forms are grouped together.
- Workflows Rules. These rules are used to manage who can do what in a workflow and system triggered events.
- Workflows Placeholders. These control the items displayed on individual forms, like dropdown menu items and other choices made by users.
Pre-built workflows include:-
- Early warnings or risk management
- Instructions
- Compensation events or change management and variations
- Programme submissions
- Contract notifications
- Submittals
- Proposals
- Payment certificates and applications
- Site records
- RFI/TQ
- Task Orders
- Document Management
What is a Contract Template
Contract templates are a group of Workflows that are pre-configured for a certain contract type e.g. unamended NEC3 ECC, JCT Design and Build Contract 2016, FIDIC Yellow Book, etc. Contract templates also define contract resources, so for example, which parties are associated with this contract type, what are the standard contract timetables and also some other features.
Pre-built workflows include:-
- NEC3 ECC
- NEC3 ECS
- NEC3 PSC
- NEC4 ECC
- NEC4 ECS

What is the difference between a Master Contract Template and a Contracts Template
The system is pre-configured with a set of Master Contract Templates which align to a standard version of contracts. These can be copied to create additional Master Contract Templates by System Admins. You might wish to create additional Master Contract Templates for specific organisations or for specific frameworks or a non-standard or bespoke form of contract. The pre-configured Master Contract Templates can be edited by System Admins but we would not recommend they are edited unless the user is suitably qualified and experienced in both the contract conditions and our software.
Master Contract Templates are used to create pre-configured individual contracts on the system. Once a contract is created from the template the individual contract template and the Master Contract Templates on which it was based can be edited without affecting each other. Master Contract Templates provide a quick way of creating of pre-configured contracts.
