This article is a guide to using the Global Search function on FastDraft.

How to use the Global Search feature
The global search feature can be found in the left-hand navigation panel.
The following search parameters are available:
- Contract - you can select whether to search within a specific contract, or leave it blank for all contracts
- Type:
- All - search across contracts, projects, companies, files & notifications
- Contracts - search for a contract
- Projects - search for a project
- Companies - search for a company
- Files - search for a specific document/attachment
- Notifications - search for a specific notice/communication
By default, your search works a lot like a Google search (i.e. searches, indexes the results, ranks the results based on best match) and delivers the top 500 results. The result window is deliberately limited to 500 results in order to avoid long-running searches that could have a negative impact on system performance for all users.
If the list of results is too long you should narrow down your search criteria.
To ensure your search looks for an exact match, toggle Exact Match to Yes.
When you click Search, the results will appear in the register at the bottom of the screen.
The Type, Reference, and Subject columns will display different data depending on what option you selected under the Type dropdown:
- If you've selected Contracts...
- Type will say Contract
- Reference will show the Contract Number
- Subject will say the Contract Name
- If you've selected Projects...
- Type will say Project
- Reference will show the Project Code
- Subject will say the Project Name
- If you've selected Companies...
- Type will say Company
- Reference will show the Company Number
- Subject will say the Company Name
- If you've selected Files...
- Type will say File
- Reference will show the URL ID of the page on which the file can be found
- Subject will say the File Name
- If you've selected Notifications...
- Type will say what type of notification it is (i.e. EarlyWarning, PaymentCertificate, etc.)
- Reference will show the Reference ID of the notice
- Subject will say the Subject of the notice
To view any of your search results, you can click the links in the View column, and a new tab will open with the relevant result.
The results register is searchable, filterable, customisable, and exportable, like all registers in FastDraft.
Clicking a result launches a new tab/page (depending on your browser preference) so that you can easily return to the results page without having to repeat your search. The View hyperlink changes colour to help you identify which results you've previously visited.
Some contract templates apply access filters that restrict visibility of certain workflows to certain parties/roles. For security reasons, these are currently excluded from the global search results.
Tip: if your search is returning no results, try switching Exact Match off, and consider searching across all types & contracts, to broaden the search. If it is still returning no results, please contact support@builtintelligence.com for assistance.
