This article is a guide on how to customise your contract users' access to view certain workflows.

Introduction
Contract templates are a group of Workflows that are pre-configured for a certain contract type e.g. unamended NEC3 ECC. Contract templates also define contract resources, so for example, which parties are associated with this contract type, what are the standard contract timetables and also some other features.
You may wish to re-configure a Workflow to align to amendments made to a standard form of contract, to suit bespoke contract terms or to align to organisational processes. For example, most standard construction contracts are amended and this functionality helps support this.
In some cases, you may wish to restrict viewing access of certain workflows in your contract to certain contract users. For example, you may wish 'Project Manager Instructions' on an NEC4 ECC contract to only be viewable by Project Managers and Contractors, and off-limits to Supervisors/Clients.
Instructions
Follow the steps below to configure your contract template:
- In the left-hand navigation panel, select 'Contract Template' under Settings.
- Select the 'Workflows' tab.
- Select the workflow type you wish to configure, then select the 'Workflows' tab within that workflow.
- Within the 'Workflows' tab, select the specific workflow; you will then be presented with a pop-up box as below. Expand 'Access User Filter.
How to configure Access based on Contract Party
- Click the '+' icon next to 'And', then select 'Add Condition'.
- Select 'Party', then select Equals/Not Equals as appropriate (see here for more detail).
- Then, select the Party you wish to grant/restrict access to. In the example below, this means that only users who are registered to the contract under the Party of 'Project Manager' will be able to view this workflow.
- Once you are happy with the configuration, click 'Update Workflow' at the bottom of the pop-up screen.
- Then, click 'Update Workflow Group'.
- Then, click 'Update'.
How to configure Access based on Contract Role
- Click the '+' icon next to 'And', then select 'Add Condition'.
- Select 'Rolepermissions', then select Equals/Not Equals as appropriate (see here for more detail).
- Then, select the Role you wish to grant/restrict access to.
- In the example below, this means that users who are registered to the contract under the Role of 'Read Only' will not be able to view this workflow
- Once you are happy with the configuration, click 'Update Workflow' at the bottom of the pop-up screen.
- Then, click 'Update Workflow Group'.
- Then, click 'Update'.
How to Configure Access based on contract Party and Role
Workflow access can be configured based on a combination of Party and Role, by following the above steps for party AND role. In the example below, this means that only users who are registered to the contract under the Party of 'Project Manager' will be able to view the workflow, unless they have Role Permissions of 'Read Only'.
To add extra lines beneath 'And', simply select the '+' icon to continue adding.
Summary
So, to summarise:
- Equals = only the users in this category will be able to view the workflow
- Does Not Equal = the users in this category will not be able to view the workflow
