FastDraft is designed to handle contractual communications between parties and workflows are generally pre-configured to send email notifications to all users representing each of those parties. However, the rules around which users get emailed can be configured separately for each workflow based on a combination of party and role.
From 08/07/2024 you can now verify the full list of email recipients for a particular notice by clicking on the Email Notifications tab.
For notifications prior to that date you will need to contact us if you need that information.
Each contract invariably stipulates a lead representative that should be notified in order for the notice to be contractually compliant so it's important FastDraft is configured correctly in order to ensure that each party fulfils its contractual obligations.
Alternatively/additionally, one or more email addresses can also be added to a contract as email recipients for all notices. Those email addresses do not necessarily belong to a user so can be a shared inbox, which would enable you to manage your own email distribution rules via your preferred email client (e.g. Outlook Rules).
Nevertheless, we occasionally receive requests from users who would like the flexibility to send email notifications/reminders to individuals they select at the time of issuing a notice.
We're looking into how best we can support this capability whilst continuing to ensure contractual compliance. In the meantime, it’s now possible for a user to share a link to a Fast Draft notice via their own email application using the ‘Share’ button.
The 'Share' button makes use of the mailto protocol to launch the user’s preferred email application with the subject pre-populated to include the Notification Type, Reference and Contract Name.
Mailto links rely on each user having set a default email application and/or having configured their browser correctly:
Windows
Go to Settings > Apps > Default apps > Choose default apps by protocol. Select the desired client for "Mailto".
MacOS
Open the default Mail app, log in to your email account, choose Mail > Preferences, and change the default client.
Firefox
Click the menu button > Preferences > General > Applications > Content Type 'mailto'. Select the desired client in the action field.
Once configured correctly, clicking the button will create a draft email for you using your own email account. You'll need to add email recipient(s) and click send. The email will be sent via your own external email so Fast Draft won’t log/track recipients but, as the sender, you will be able to see that information via your email application's Sent Items.
This is intended to supplement and not to replace the standard email notifications features of FastDraft. You will still need to hit 'Communicate' in order to commit the formal record to the database and generate any automated email notifications that the notice requires.
With regards to the Share functionality, we can potentially help with pre-populating the To and CC lines based on Contract Users that the sender selects. If you would like to discuss that further, please contact us.
