This article describes how email notifications can be configured from FastDraft.
This guide contains the following:
Full Email Content
Traditionally, FastDraft email notifications include basic details (i.e. Contract Name, Reference, Subject, and Notification Type) plus a hyperlink to the notice, requiring the user to login and read full details.
That's by design, for security reasons, to ensure that any specific detail can only be accessed by an authenticated user.
However, from time to time we do receive feedback that end users are frustrated about the lack of content in their email notifications. In response to that feedback, we've now implemented enhanced email capabilities.
We recognise that the appetite for sharing potentially confidential information may vary from company to company, from contract to contract and potentially workflow to workflow so that's configurable independently for each workflow within a master/contract template.
Once enabled for a particular workflow, email notifications will contain all of the information that would be visible when logging into FastDraft to view that notice (with the exception of logos and attachments).
Logos and attachments are deliberately excluded in order to reduce the size of emails. If you have a requirement to receive attachments via email then we can help you with automating that process. Similarly, if you would like help with automatically saving a pdf copy of each notice plus attachments to your document management system we can also help you with automating that. For more information, please click here for our support documentation regarding FastDraft's integration capabilities.
If you would like to discuss enabling enhanced email content and/or either of those automations please contact us.
Enhanced Email Distribution Rules
One potential advantage of enabling full content emails is that you could use this additional content in conjunction with FastDraft's email recipients capability to send all FastDraft email notifications to a single shared inbox from where you could manage your own potentially very sophisticated onward email distribution rules using the native capabilities of your email application (e.g. Outlook Rules) or via an integration hub. Another advantage of managing email distribution that way, would be that you retain your own full audit trail of who was emailed in each case as all of that information would reside within your own email application.
If you would like to discuss enhanced email distribution please contact your Account Manager - if you are unaware of who to speak to, raise a support ticket by e-mailing: support@builtintelligence.com
